Company information
Ansta Orchid is a Kenya-based international exporter of premium orchids, cut flowers, fruits, vegetables and herbs, supplying importers, wholesalers, florists, supermarkets and food-service distributors across Europe and worldwide. This website, anstaorchid.com, is operated by Ansta Orchid from its Export Office in Nairobi, Kenya.
Acceptance of terms
By using this website you agree to these terms and to the policies on this page. If you do not agree with them, please do not use the website.
Use of the website
This website is provided to share information about our products and export services and to let buyers request quotations. Please use it for lawful purposes only, and do not interfere with its operation or attempt to access parts of it that are not intended for you.
Product information
Availability of every product depends on season, harvest conditions and export regulations.
Images are representative. Natural variation in flowers, fruits and other produce is expected.
Custom sourcing requests are assessed individually and are not guaranteed until confirmed by our team.
Quotation process
You can request a quotation through the quotation form or the quotation basket, or by email. Quotations are itemised and structured around the scale and frequency of your order.
A quotation is an invitation to negotiate. It is not a binding offer, and no contract exists until both parties have agreed the terms.
Each quotation states its own validity.
Order acceptance
An order is accepted only once both parties have agreed to the details, including the products and varieties, quantities and specifications, destination country, packaging, quality and grade requirements, the Incoterm, the transport mode and the required documentation.
Pricing, payment and cancellation
No prices are displayed on this website. Pricing, currency, payment terms and cancellation terms are set out in the quotation and in the terms agreed for each order.
Force majeure
Neither party is responsible for a delay or failure that results from events beyond its reasonable control, such as severe weather, disruption to flights or other transport, customs or inspection holds, and changes to import or export regulations.
Limitation of liability
To the extent permitted by law, Ansta Orchid is not liable for indirect or consequential loss arising from the use of this website or from the information on it. Responsibility for goods is governed by the terms agreed for each order, including the Incoterm and the claims process described below. Nothing on this page limits any liability that cannot be limited by law.
Governing law
These terms are governed by the laws of Kenya.
Privacy Policy
This is a static website hosted on Cloudflare. It has no server-side database of its own. The information described below is the information that reaches Ansta Orchid, and only when you choose to send it.
Information you provide
Quotation request form
First name, surname, email address and destination country are required. Phone or WhatsApp number, company, business type, destination port or airport, preferred Incoterm, shipping method, target shipment date, order frequency, required certifications and notes are optional. The products you selected, and any custom product details you add, are included.
The request is sent to the Ansta Orchid team through EmailJS, an email-sending service, and a confirmation email is sent to the address you entered.
Contact form
Your name, email address and message open as a pre-filled email in your own mail app. Nothing is sent from the website itself, and we receive only what you choose to send.
The chat widget is provided by Tawk.to. Messages and details you type into the chat are processed according to Tawk.to's privacy policy.
How the information is used
Information is used to prepare and send quotations, reply to enquiries, send the confirmation of a quotation request, and plan export documentation, shipping and delivery for your destination.
Quotation basket
The products you add to your basket are stored in your browser using localStorage, as product references only. They stay on your device and are not sent to us unless you submit them in a quotation request. The basket is cleared once a request has been sent, and you can also remove items or clear it yourself on the basket page.
Third-party services
Cloudflare hosts and delivers the website, and its R2 storage serves product and page images.
EmailJS sends quotation requests and confirmation emails. Its script is loaded from jsDelivr on the quotation page.
Tawk.to provides the live chat widget.
Google Fonts supplies the typefaces, which your browser requests from Google when a page loads.
Each of these services receives technical information, such as your IP address, when your browser connects to it.
Analytics
No analytics or advertising tools are installed on this website.
Retention
Correspondence and quotation details are kept for as long as they are needed to handle your enquiry, any resulting order and the related records.
Your choices and rights
You can ask for access to, correction of, or deletion of the correspondence or data we hold about you by emailing contact@anstaorchid.com. Where data protection law applies to your information, such as the GDPR for buyers in Europe, you may have further rights under that law.
Security
Pages are delivered over HTTPS. Because the website has no database of its own, nothing you type into the quotation or contact form is stored on the site itself.
Cookie Policy
Essential and functional storage
The website does not set cookies of its own. The quotation basket uses your browser's localStorage so that your selection is remembered as you move between pages. This is needed for the basket to work.
Analytics cookies
None. No analytics tools are installed on this website.
Third-party cookies
The Tawk.to live chat widget, which loads on the pages of this website, may use its own cookies or similar browser storage to run the chat. Its use of them is described in Tawk.to's privacy policy.
Managing your preferences
You can view, block or delete cookies and site data in your browser settings. Clearing site data for anstaorchid.com also empties your quotation basket. Blocking the chat provider's cookies may stop the live chat from working as expected.
Export Terms
This section explains how an export shipment works. The exact responsibilities for each order depend on the product, the destination and the Incoterm agreed for it.
Export documentation
Ansta Orchid coordinates the export paperwork that applies to each shipment. Depending on the product and destination, this can include:
Commercial documents: invoices and value declarations, structured according to the agreed sales terms and currency.
Plant health documents: phytosanitary certificates and inspection records required by the importing authority.
Packing and cargo documents: itemised packing lists and consignment weights.
Transport documents: an Air Waybill or the multimodal shipping documents for the chosen route.
Customs documents: export declarations and origin forms, including a certificate of origin where one applies.
Phytosanitary certificates
A phytosanitary certificate is an official document confirming that a plant or plant-product consignment meets the plant health requirements of the importing country. Whether one is needed depends on the product and the destination.
Cold chain handling
Our cold chain management processes aim to support product quality by utilizing temperature-monitored environments and controlled logistics from post-harvest through transit, subject to facility and equipment availability.
Packaging
Packaging is specified with the order, as a standard export box or a custom arrangement. Cartons are checked before dispatch to confirm they are ventilated, secured and built for international transit.
Customs and import requirements
Import requirements are set by the authorities of the destination country. The buyer or importer is responsible for making sure the shipment can legally enter the destination market and that any import permits, registrations, customs arrangements or local approvals are in place. Ansta Orchid provides documentation support but cannot guarantee clearance in jurisdictions where import rules change.
Freight Management:
Ansta Orchid oversees the transfer from the packing facility to the air cargo terminal, coordinating with air carriers and handling agents to meet scheduled departure windows. Method of carriage (air freight or sea freight) must be selected by the customer on the quotation form.
Allocation of responsibilities
The division of obligations, costs and risks between the parties is governed by the Incoterms® 2020 rule designated and agreed in the relevant contract or quotation. The table in the Shipping & Logistics section shows where risk passes under the terms used most often.
Seller's obligations (Ansta Orchid)
Product preparation, quality inspection and export-compliant packaging
Cold chain maintenance up to the point of dispatch
All required export documentation, including phytosanitary certification
Any later logistics, carriage, insurance or clearance duties, but only to the extent the chosen Incoterm assigns them to the seller
Buyer's obligations
Import compliance, necessary permits and statutory registrations in the destination country
Import clearance, customs duties and taxes, unless an Incoterm that assigns these to the seller, such as DDP, has been expressly agreed
Every logistical stage the applicable Incoterm assigns to the buyer, including freight, insurance or unloading
Complete and accurate order specifications, transit preferences and required certifications
Shipping & Logistics
Transport modes
Fresh products are commonly sent by air freight, where speed and freshness matter most. Sea freight can also be selected on the quotation form. The right mode depends on the product's shelf life, the destination, the volume and the agreed logistics arrangement.
Temperature-controlled transport
Perishable shipments are handled under agreed cold chain conditions, from preparation and storage to loading, transfer to the airport and dispatch.
Delivery timelines
Delivery timelines depend on freight availability, customs processing and destination regulations. The shipment plan for each order is agreed with the buyer before anything is harvested or packed.
Delivery responsibilities and risk transfer
International trade follows Incoterms® 2020. The table shows the terms used most often. Other Incoterms 2020 rules can be arranged on request.
Incoterm
Ansta Orchid arranges
Risk passes to the buyer
EXWEx Works

CIPCarriage and Insurance Paid To
Export clearance, carriage to the named destination, and cargo insurance at the ICC (A) level of cover
When the goods are handed to the first carrier
DAPDelivered at Place

At the named destination, ready for unloading
DDPDelivered Duty Paid
Export and import clearance, transport, duties and taxes, and delivery to the named destination ready for unloading
At the named destination, ready for unloading
DDP depends on Ansta Orchid being able to complete import formalities and any local tax registration in the destination country, so please confirm it with the export team before agreeing to it.
Customs clearance responsibilities
Export clearance is generally handled by the seller under the most commonly used terms. Import clearance is normally the buyer's responsibility unless DDP has been agreed. The quotation states the applicable Incoterm and the named place.
Shipping delays
Shipments can be affected by flight schedules, weather, customs procedures, inspections, handling or other logistical circumstances. The appropriate response depends on the cause of the delay, the transport arrangement and the responsibilities set by the agreed Incoterm.
Quality is managed at each stage between the grower and the destination airport.
Sourcing and grading. Products are sourced from accredited, export-grade growers in Kenya, with preliminary grading at farm level before they enter the packing facilities.
Inspection before packing. Each batch is checked for colour, firmness, stem strength and overall condition, and is matched against the order's grade, size and specification. Quantities and packaging are checked too.
Removal of non-conforming items. Any stem or item that does not meet export-grade specifications is removed and replaced.
Freshness and cold chain. Cooling after harvest and product-specific temperature and humidity control continue through storage, loading and transfer to the departure airport.
Documentation. Phytosanitary certificates, origin documents and customs paperwork are prepared and checked before departure.
Where a buyer's market needs particular parameters, such as specific opening stages, custom sleeve treatments or precise bunching, these are checked individually during inspection.
Returns & Claims
Returns of fresh produce are generally impractical, so problems are handled through a claims process.
Making a claim
Report the issue in writing. Email contact@anstaorchid.com with your order or shipment reference, as soon as you find the issue so the shipment can be assessed while its condition is clear.
Send your evidence. This should include photos of the affected goods and their packaging, the quantities affected, and the shipment details, such as the invoice, packing list and Air Waybill.
Assessment. The claim is reviewed against the specification agreed for the order, including grade, size, count and packaging, and against the responsibilities set by the agreed Incoterm.
Outcome. The findings are shared with you in writing, and any remedy is agreed with you on the basis of those findings.
Quality disputes
Disputes about quality are resolved by comparing the delivered goods with the agreed specification and the shipment documents. Both parties are asked to share the evidence they hold.
When a claim may not be accepted
The issue arose after risk had passed to the buyer under the agreed Incoterm, for example through handling or storage after handover.
The difference is natural variation in flowers or produce, which is expected.
The shipment was held or refused because of import requirements in the destination country, which are the buyer's responsibility.
The evidence needed to assess the claim has not been provided.
Responsible Sourcing
Ansta Orchid sources from accredited, export-grade growers in Kenya. Two of the standards listed in the Compliance & Certifications section relate directly to how produce is grown and handled:
GlobalG.A.P. covers sustainable, safe production and handling at farm level.
Kenya Flower Council standards cover ethical, social and environmental responsibility.
Details of these standards are on the Company page.

Compliance & Certifications
The certifications and standards shown on the Company page are:
GlobalG.A.P. for sustainable, safe farm-level production and handling.
KEPHIS, the Kenya Plant Health Inspectorate Service, for phytosanitary compliance.
Kenya Flower Council (KFC) for ethical, social and environmental standards.
HACCP for food safety management in sorting, handling and packing.
ISO certifications for quality management systems.
Certification copies and audit reports are available on request during the quotation process.
Contact for Legal Matters
Legal, compliance and data enquiries are handled through the address below.
Each quotation states its own validity. Please check the quotation you receive.
No. A quotation is an invitation to negotiate. No contract exists until both parties have agreed the terms.
Pricing is built around the scale and frequency of each order, so it is provided in an itemised quotation rather than on the website.
The product and variety, quantity, packaging requirements, destination, preferred transport method, delivery location, required certifications and your preferred Incoterm.
Export & customs
Ansta Orchid exports from Kenya to Europe and worldwide. Whether a product can enter a given country depends on that country's import rules, so please include your destination in your quotation request.
It depends on the Incoterm. Export clearance is generally handled by the seller. Import clearance is normally the buyer's responsibility unless DDP has been agreed.
EXW, FOB, CIP, DAP and DDP are the terms used most often. Other Incoterms 2020 rules can be arranged on request. FOB applies to sea and inland waterway transport only.
Depending on the product and destination: a commercial invoice, packing list, transport document such as an Air Waybill, phytosanitary certificate, export declaration and, where applicable, a certificate of origin.
Shipping & delivery
The response depends on the cause of the delay, the transport arrangement and the responsibilities set by the agreed Incoterm. Flight schedules, weather, customs procedures and inspections can all affect a shipment.
Not under every Incoterm. Under CIP the seller arranges cargo insurance at the ICC (A) level of cover. Under the other terms the insurance arrangement should be confirmed with the export team before shipment.
Risk passes from Ansta Orchid to the buyer at the point set by the agreed Incoterm, as shown in the table in the Shipping & Logistics section.
Claims, quality & privacy
Email contact@anstaorchid.com with your order or shipment reference, photos of the affected goods and packaging, and the shipment details. The steps are set out in the Returns & Claims section.
Returns are generally impractical for fresh produce, so issues are handled through the claims process instead.
No. The contact form opens a pre-filled email in your own mail app, and you send it from there. The quotation request form is different: it sends your request through EmailJS and emails you a confirmation.
